Step 1: Work Out What You Are Actually Lifting
We ask one question on the phone: what is your heaviest single pallet? Nine times out of ten the caller opened with “give me a 3 ton” and ends up on a 2 ton after that one question.
Find your heaviest pallet, not your average pallet
Capacity covers your worst case, not your normal day. Weights vary more than people expect. Forty bags of cement at 50 kg is 2,000 kg and rules out a 1.5 ton machine immediately. A pallet of tiles, a pallet of bottled water and a pallet of FMCG cartons are three different problems.
Add the pallet itself, plus any attachment. If you do not know your weights, photograph the delivery note and packing list and send it to the rental desk. We read those every day.
Understand load centre, the number that quietly reduces your capacity
Load centre is the distance from the fork face to the centre of gravity of the load. Rated capacity assumes that distance sits at a standard figure, commonly 500 mm on the machines used here.
Push the weight further forward and the machine loses capacity. Timber sheets, pipe bundles and wide crates all move the centre of gravity out, and safe capacity drops below the number painted on the side.
Every forklift carries a data plate with a capacity chart. Read it. At handover we walk through that plate with whoever will operate the machine.
A 3 ton badge does not mean 3 tons of anything, in any position, at any height.
Add a safety margin, then stop
Plan roughly 20 to 25 percent headroom above your heaviest routine load, then stop. Do not jump a full class larger because it feels safer.
A bigger machine turns wider, sits heavier on your floor slab, burns more fuel and costs more per month. Often it also refuses to turn in your aisle, which no amount of capacity fixes. We would rather put the right 1.5 ton in your unit than the 3 ton you thought you wanted.
Take a running example for the rest of this guide. Small trading company, 6,000 sq ft unit, two containers a month, heaviest pallet around 1,100 kg, aisle around 3 metres, shutter around 4 metres, nobody licensed yet. On capacity alone, that business needs 1.5 to 2 ton, not 3.
Step 2: Check Whether the Machine Will Physically Fit Your Unit
Aisle width and turning radius
Measure the clear aisle between racks at its narrowest point. Include pallet overhang and anything sitting on the floor, because that is the real width, not the drawing width.
A counterbalance forklift needs materially more room to complete a right angle turn into a rack bay than a pallet truck does. If the aisle is genuinely too tight, the answer is not a smaller forklift. It is a different machine class such as an electric stacker or a reach truck, or a change to your rack layout.
Shutter height, ceiling height and mast collapsed height
This trap catches more first time renters than any other. The machine drives up to the roller shutter and the mast will not clear the opening. It never gets inside.
Measure the shutter opening height, then the lowest point in the unit: ceiling, duct run, sprinkler line, lighting bar.
Collapsed height is the mast height when fully lowered. A duplex mast has two stages and a lower collapsed height for a given lift. A triplex has three stages and lifts higher from an even shorter one. Free lift is how far the forks rise before the mast extends, which matters inside a container or under a low ceiling. If your shutter is under about 2.5 metres, ask for a low collapsed height mast before you book.
Floor loading and floor finish
A loaded forklift concentrates a lot of weight through four small contact points. If your unit has a mezzanine, or you are on an upper floor, there is a floor loading limit and it matters. Ask your landlord or the free zone facilities team for that figure before booking, and get it in writing.
Floor finish matters too. Standard tyres mark epoxy and painted floors badly. Non-marking tyres use a compound that does not leave those streaks, worth asking for if you hand the floor back at lease end.
Door to door access route
Your machine arrives on a low bed or recovery truck, and that truck needs room to unload safely. Some warehouse rows in Al Quoz and Al Qusais get tight at the turn. Check gate width, ramp and turning space before the slot is booked.

Step 3: Electric or Diesel for a Dubai Warehouse
When electric is the right call
Electric is the default for indoor work. No exhaust in the aisle, low noise, smoother control at low speed. For food, pharma, retail stock and any closed unit with limited ventilation, it is the only sensible answer. The planning inputs are charging related. You need a suitable charging point and a defined charging bay, and charging takes hours, not minutes. If you run long shifts, tell us your daily running hours so we size the battery properly.
When diesel is the right call
Diesel earns its place outdoors: yard work, container stripping on uneven ground, mixed duty, long shifts with no charging window, heavier or higher lifts. The trade offs are real. You carry the fuel responsibility, the machine is loud, and the exhaust has nowhere to go inside a sealed unit.
An e-commerce startup in Dubai South once booked diesel because it was the cheaper class that day, then ran it inside a closed unit with one shutter and no cross ventilation. Staff complained of fumes inside the first shift. We recovered the machine, supplied an electric counterbalance, and helped them find a socket and a safe charging bay. Indoors, the ventilation question comes before the price question.
Dubai summer adds its own load. Heat and dust affect both fuel types, and machines living outside need shade and a kept service interval.
What about LPG and dual fuel
LPG forklifts are common for indoor work in some markets. In the UAE, cylinder handling and supply logistics make LPG a less common default for small warehouse duty, and electric usually wins. Do not assume availability. Ask the yard what it actually holds.
Back to our example. Two containers a month means the machine works outside the shutter on receipt days and inside the racks the rest of the time. Electric with a planned charging window beats diesel indoors there.
Step 4: Decide Between Dry Hire and Hiring an Operator
Dry hire means we deliver the machine and your team drives it. Wet hire means it arrives with our trained and certified operator. The choice is mostly about who is licensed.
Do you need a licence to drive a forklift in Dubai
Yes. Forklift operation in the UAE is a licensed activity, not something an experienced storekeeper can simply take on.
In Dubai the route runs through the Roads and Transport Authority (RTA) via an approved driving institute. The light forklift category covers machines under 7 tons, minimum age is 20, and the programme includes theory lectures and a practical test. A separate heavy forklift category exists for larger machines. Driving institute packages for the light licence were published in the region of AED 4,200 to AED 6,450 including RTA fees at the time of our research. Those are third party published figures, not ours, so confirm current fees with the institute or the RTA.
One point most articles skip. A licence is legal permission. Familiarisation on the specific machine is separate and just as necessary. We give a basic operational training and safety briefing at handover, and that briefing is not a substitute for a licence.
Wet hire, and when it is the cheaper option

What drives the price
Rates move on a short list of variables: capacity class, fuel type, mast configuration and attachments, rental term, whether an operator is included, single shift or 24/7 running, delivery distance and site access, and extras such as non-marking tyres.

Free zone units, gate passes and access
Bringing equipment and a delivery vehicle into Jebel Ali Free Zone involves a gate pass process. DAFZA, DMCC and Dubai South each run their own access rules on top of that. Start the gate pass before you book the delivery date.
We had a 3PL taking over a unit inside JAFZA where machine and transport arrived exactly on schedule, then sat outside the gate because the pass had not been arranged. We now confirm free zone access status before locking a delivery slot for any free zone address. In a free zone, the paperwork is part of the delivery schedule. Fees and validity are set by the free zone authority, so confirm those with them.
Mainland units, Dubai Municipality and building rules
On mainland units, check that your landlord and facilities team are fine with powered equipment operating inside a leased warehouse. Some tenancy agreements say more than people expect. Keep escape routes and Dubai Civil Defence clearances free, and do not park a raised mast under a sprinkler head.
