The job is finished. The machine is standing in the corner of the site behind a stack of blockwork. Everyone has moved on to the next plot. And the meter that nobody can see is still running.
Off hire is the formal notice you give the rental company that you have finished with a machine and want it collected. It is the act that starts the process of stopping your charges. Nothing else does that. Not finishing the work, not telling the operator, not posting in the site group.
One quick note before we go further. This page is about plant and equipment hire. “Off hire” also means something completely different in ship chartering, and that is not what we are covering here.
By the end of this page you will know how to off hire equipment in Dubai, what to ask for in writing, when charges actually stop, and which charges you can avoid entirely.
What Does “Off Hire” Actually Mean?
Off hire is the formal notice you give an equipment rental company that you have finished with a machine and want it collected. It is what starts the process of ending your hire charges. Until an off hire is logged and confirmed with a reference, the machine is still on hire and still charging.
Think of it as the mirror of on hire. On hire is when the machine leaves the supplier’s yard and the clock starts, which we cover in detail in what happens on delivery day. Off hire is how you stop that clock.
The framework behind this is worth knowing. Commonly used UK derived hire conditions such as the CPA Model Conditions for the Hiring of Plant define the hire period as running from when the plant leaves the owner’s depot until it is received back at the owner’s named depot or other agreed location. Much of the UAE plant and access hire market runs on that contract language, which is why consultants, main contractors and rental desks here all say “off hire” rather than “return”.
The practical point is simple. Off hire is not a courtesy. It is a financial event.
Off hire, collection and return: three words people use to mean one thing
They are not the same thing, and confusing them is where most of the money goes.
Off hire is the notification. Collection is the physical pickup. Return is the machine arriving back at the yard.
Where collection is included in the rental package, as it is with us, you do not arrange transport. But you still control site access and readiness, and those are what actually decide whether collection happens on the day you asked for.
Now the sentence we hear most often, and the one that costs people the most: “I told the driver we are finished.” A driver is not the hire desk. Neither is the operator, and neither is a WhatsApp group with 300 site photos in it. None of those is an off hire.

We have taken a lot of off hire calls over the years, and three mistakes account for nearly every disputed invoice we have ever had to unpick. Telling the wrong person. Getting nothing in writing. And assuming the charge stopped when the work stopped.
When Do the Rental Charges Actually Stop?
Three dates exist on every hire, and beginners assume the first one matters. It usually does not.

That is the whole model, and once you see it the fog lifts.
In standard plant hire practice, the finished date carries no weight. A hirer’s responsibility does not stop when the off hire is phoned through. It continues until the plant is collected from site or returned to the yard, which is how mainstream plant hire terms are written.
There is a fair middle ground, and it is worth understanding rather than assuming. Many suppliers, including well run UAE desks, will stop charging at the confirmed off hire date provided collection is not delayed by the customer. Where the delay is caused by site access, an expired gate pass, or a machine that simply could not be reached, the charge usually runs through to collection.
That is exactly the clause to ask about before you sign anything.
Here is why the question matters in money rather than in principle. Take a machine off hired on a Monday and collected on a Thursday, at a day rate of AED:
- Under a charge-to-collection rule, you pay Monday, Tuesday, Wednesday and Thursday
- Under a charge-to-off-hire rule, you pay to Monday and no further
- Three days of difference on one machine, and most sites run more than one
Whether that difference lands on your invoice depends entirely on which rule your contract uses. Read your own terms rather than trusting any article, including this one. Does the weekend or a public holiday count?
This is where copied contract language causes real confusion in Dubai.
The widely used CPA Model Conditions define a working day as 08:00 to 16:30 Monday to Thursday and 08:00 to 15:30 on Friday. That is a UK office pattern. It does not map onto the UAE calendar, where the working week differs by sector and Saturday is a normal site day on plenty of projects.
So ask the three questions that actually apply here instead:
- Does the supplier’s desk operate on Friday and Saturday?
- Does your site accept collections on those days?
- Does the free zone or community gate operate then?

The practical instruction is short. If you finish on a Thursday afternoon, log the off hire on Thursday. Not on Sunday. Three days is three days.
What if I off hire and the machine is not collected for a week?
Reputable terms cap this rather than leaving it open. Under the CPA framework, either party can terminate an indeterminate hire on seven working days notice in writing, and the hirer’s liability continues for only a further three working days if the plant is not collected within that notice period.
The action you can take is simple. If collection has not happened within the window your supplier quoted, call again and ask for the delay to be recorded against your off hire reference, in writing. That written record is what separates a supplier delay from a site delay when accounts look at it later.
Now the trap that generates most disputes. A collection fails because the site gate was locked, another contractor’s material was stacked against the machine, or nobody with authority was on site. A failed collection like that is usually chargeable, and a re-collection may be charged too.
How to Off Hire a Machine Correctly: The Step by Step Procedure
Plant management systems track off hires through three statuses: off hire requested, awaiting collection, and off hired. A good supplier can tell you which of the three your machine is in at any moment. That is a fair question to ask, and the answer tells you a lot.
Step 1. Confirm the job is genuinely finished
A premature off hire is more expensive than a late one, which surprises people.
Off hire a scissor lift on Thursday, and on Sunday the MEP subcontractor finds three more ceiling penetrations. Now you are paying delivery, mobilisation and a fresh minimum hire period to bring a machine back that was standing on your floor two days ago.
We watched exactly that happen on a mall unit fit-out in Deira. The customer off hired because the ceiling was closed, then the main contractor’s snagging list came back on Sunday with more work in it. We got a machine back the next morning, but we told him straight that extending by two or three days would have cost him considerably less than a re-hire.
The practical test: walk the scope with the person who will actually sign it off, not the person who booked the machine. And if you need three more days, extend to a weekly or monthly rate rather than off hiring and re-hiring.
Step 2. Call the hire desk and get an off hire number
An off hire only exists once the supplier has logged it and given you a reference. That is not our house rule, it is standard practice across the industry. Some UK plant hire terms go as far as requiring the off hire to be telephoned to the office to obtain an off hire number, and expressly state that email alone is not accepted. Other hire companies state directly that the client must obtain an off hire reference before hire charges cease.
A proper off hire confirmation should contain:
- The off hire reference number
- Your contract or hire number
- Machine description and serial or fleet number
- Site address
- Date and time the off hire was logged
- Name of the person at the supplier who took it
- The expected collection window
Get it in writing even if you had to phone it in. Ask for it by email or WhatsApp and save it somewhere you can find it in three months. A phone call with no written trail is the weakest possible evidence in an invoice dispute.
Do not off hire through a site group chat where the message disappears under 200 photos of rebar by Tuesday. Send it as a direct message or an email, with the reference at the top.
One more thing. If you have several machines on one contract, reference each one by its fleet or serial number individually. “Off hire the lifts” is ambiguous when three are on the contract, and ambiguity always resolves in favour of the invoice.
If a supplier will not put an off hire reference in writing, treat that as a warning sign. That standard applies to us as much as to anyone else.

Step 3. Prepare the machine for collection
Cleaning. The standard is to return the machine in the condition it went out in. Plant returned excessively dirty, caked with mud or concrete, is commonly charged extra for cleaning.
What our wash bay actually sees coming back from Dubai sites is specific: concrete gone off hard on a bucket edge, gypsum dust packed into a platform floor drain, screed splatter down the outside of a scissor lift hire in Dubai guard rail, and fine sand in a control box on anything that stood outside in Al Quoz, Ras Al Khor or DIP for a week.
That last one is worth two sentences. A signage crew left a boom lift standing on an open plot near Al Quoz for the final week of hire, platform open and controls uncovered. Not damage, but a genuine workshop clean before it could go back out. Covering the control box and closing the platform gate at end of shift is ten seconds of work.
Fuel. Many hire terms fill the tank manually to the top of the filling pipe, expressly disregarding gauges, and expect it back the same way with the difference charged. Ask which rule applies to your hire and keep the fuel receipt.
Attachments and accessories. These are what actually go missing in the field:
- Excavator buckets and quick hitches
- Breaker hoses and bobcat attachments
- Forklift extension sleeves
- Battery chargers and charging leads for electric lifts
- Platform control boxes and remote handsets
- Harness anchor points and spare keys
- Wheel chocks, outrigger pads and spreader mats
- Fire extinguishers and the machine’s document wallet
We once collected an excavator from a plot in Dubai Investment Park and found one of our buckets on another supplier’s machine, and one of theirs on ours. The site team had swapped attachments mid-project because the pin sizes happened to suit. We identified ours by the fleet marking and sorted it directly with the other yard before either customer got charged for a missing attachment.
Keys and remotes. A lost key on a modern boom lift is not a hardware store copy. It is a replacement part plus programming time. Keep keys and remotes in the site office, not in the machine.
Documents. Return the machine’s paperwork, and separately keep a copy of the third party inspection certificate and the operator handover sheet for your own project file. That applies to any lifting equipment, including boom lift hire in Dubai.
Step 4. Photograph everything on the day you off hire
This is the single most valuable thing on this page and it costs you nothing but three minutes.
The shot list:
- All four sides of the machine
- The hour meter or odometer reading
- The fuel gauge
- Tyre or track condition
- Platform floor and guard rails, on lifts
- Bucket edge and pins, on excavators
- Forks and mast, on forklifts
- Every attachment laid out together in one frame
- The key in your hand
- The machine’s decal or fleet number in the same frame as the machine
- One wide shot showing where it is parked and how a truck can reach it
Keep the timestamp on. Do not crop them. Do not leave them only in a chat that auto-deletes media after 30 days.
The payoff is simple. If a damage charge appears three weeks later, dated photographs of the machine on the off hire date is the difference between a conversation and an argument.
Any well run supplier does its own condition report at collection. Having your own photographs is not challenging that. You are just matching it.
Step 5. Keep the machine safe and reachable until it is collected
Here is the rule beginners miss. The machine remains your responsibility until it is physically collected. Standard hire conditions place liability for loss of or damage to the plant on the hirer for the whole hire period, expressly including time the plant sits on site during a holiday period.
In site language: do not park an off hired machine in the open at the far corner of an unfenced plot in JVC or Dubai South and assume it is now the supplier’s problem. It is not.
Access is your job too. Standard conditions put responsibility for unobstructed access and for loading and unloading on the hirer unless agreed otherwise in writing. So move material away from the machine, keep the gate reachable, and make sure the person holding the gate key or the free zone pass is available in the collection window.
Dubai adds its own layers. JAFZA, Dubai South, DAFZA, DMCC and Dubai Internet City all control their own gates and usually need the collection vehicle registered in advance. Gated communities such as Arabian Ranches and Dubai Hills run their own security and timing rules. Live buildings in Business Bay, Downtown Dubai and DIFC often permit heavy vehicle movement only in early morning or late evening windows. On mainland projects, Dubai Municipality and Trakhees site rules can also govern what moves and when.
A racking crew in a Jebel Ali free zone warehouse finished their installation and left the country the same week. Their own gate pass for our collection vehicle had expired with the project, so even once the off hire was logged we could not get a truck in for several days. In a free zone, your gate pass is part of your off hire. Check it is still valid before your crew leaves.
Summer. From 15 June to 15 September the UAE midday break restricts outdoor work in direct sunlight between 12:30 and 15:00, administered by MOHRE. That removes the middle of the day from the loading window on exposed sites, so plan your collection slot around it.
Ramadan. Adjusted site hours and shifting traffic patterns compress collection windows. Give more notice than usual.
Step 6. Check the collection paperwork before the truck leaves
A collection note or condition report should show the date and time, the off hire reference, the machine and fleet number, the meter reading, the fuel level, the accessories returned, and any damage noted.
Read the damage section before you sign. If you disagree with something on it, write your disagreement on the note itself before signing, not afterwards in an email.
Then photograph the signed note.
Never let the machine leave with nothing signed. An unsigned collection is a gap in the record on both sides, and gaps get filled by whoever is holding the invoice.
Ask when your deposit or security cheque is released and what conditions apply, while the person is still standing in front of you.
Charges You Can Avoid at Off Hire
None of these charges exist to punish you. They exist because somebody has to pay for the diesel, the pressure washer and the workshop hour. The fairest outcome is that nobody has to.

Two Real Off Hire Situations We See at Our Yard
The machine everyone forgot in the compound
A small villa contractor, four man team, first hire with us, working a plot in JVC. Excavation and backfill finished on a Wednesday. The site engineer told the machine operator the work was done, the team moved to a second plot in Al Furjan on Sunday, and nobody called our desk.
The backhoe sat behind a stack of blockwork with the keys in the site office for close to two weeks. Our own hire register eventually flagged an unusually long-running daily hire, we called the customer, and we arranged collection that same week.
But the days between finishing and that call had already accrued, and there was no off hire reference anywhere to argue from. We walked them through what an off hire reference is and set things up so their site supervisor could log one directly rather than routing it through anybody.
A supplier can notice. Only a logged off hire protects you.
The lift that could not be reached on collection day
A fit-out contractor finishing an office handover in a Business Bay tower, live building with occupied floors. This customer did everything right. Off hired on the correct day, reference in writing, collection booked.
On collection day the building’s only goods lift and loading bay slot had been given to a furniture delivery, and the service corridor was blocked with packaging. Our truck waited and left empty. That is a wasted trip and two more days with the machine standing in a service corridor.
We rebooked into an early morning slot before the building’s working day started, coordinated the bay with building management, and got the lift out in one movement.
Off hiring correctly stops the clock only if the machine can physically leave. Book the building before you book the truck.
Frequently Asked Questions About Off Hiring Equipment in Dubai
What does off hire mean in equipment rental? Off hire is the formal notice you give the rental company that you have finished with a machine and want it collected. That includes theft, vandalism and weather damage while it stands waiting. Keep it secured, not parked in the open corner of an unfenced plot.
Will I be charged if I return the machine dirty? Normal site dust is expected and is not charged. Hardened concrete, screed, paint and mud are a different matter, and plant returned excessively dirty is commonly charged for cleaning. A wash down on site before collection takes a few minutes and removes the question entirely.
Do I have to refuel a rented machine before collection? The usual expectation is to return it at the level it arrived at. Some suppliers fill manually to the top of the filler pipe and expressly ignore the gauge, then charge the difference on return. Ask which rule applies to your hire, refuel before collection, and keep the receipt.
What happens if I lose the key to a rented machine? On modern access equipment it is a replacement part plus programming cost, not a cut-a-copy job at the hardware shop. The same applies to platform control boxes and remote handsets. It is entirely avoidable by keeping keys in the site office rather than in the machine overnight.
Can I off hire some machines and keep others? Yes. Partial off hire is completely normal and most suppliers handle it routinely. Reference each machine by its fleet or serial number individually when you make the request, because “off hire the lifts” is ambiguous when three sit on the same contract, and ambiguity gets resolved by the invoice.
What if the machine is damaged and I only find out at collection? Report it yourself before the truck arrives rather than letting it be discovered. A declared issue is a repair conversation and an undeclared one is a dispute. In many hire terms the hire rate keeps running while damaged plant is repaired or until replacement value is settled, so early reporting is financially better for you too.
What proof should I keep that I off hired on time? Four things: the written off hire confirmation with reference and timestamp, the name of the person who took your call, dated photographs of the machine and its meter, and the signed collection note. Keep them together in one folder. Between them they answer every question an accounts department can ask.
