The machine is on site. The crew is ready. The basket goes up, and stops a metre short of the soffit.

Or the excavator arrives at a villa plot, and it cannot turn without hitting the boundary wall.

A wrong size machine hire in Dubai is one of the most common calls our rental desk takes. It is frustrating, and it eats into a day that was already planned to the hour. But in most cases it is fixable the same day, as long as the site sends the right information. This guide walks you through exactly what to do, and how to make sure the next machine fits first time.

What should you do first if your hired machine is the wrong size?

If a hired machine is the wrong size, stop using it for that task, photograph where it falls short, and measure the height, outreach, access width and load the job really needs. Send this to your rental supplier and ask for a confirmed replacement model. In Dubai, a same day swap is often possible.

The key word is stop. Do not try to make it work by stretching from the basket or digging closer to the wall than the machine allows.

Then give the rental desk facts, not guesses. Two or three photos and five measurements tell a good desk more than a ten minute phone call. With those, the replacement can be matched properly and the wrong unit collected, so the crew is back to work rather than standing around.

A typical wrong size call at the Dream Way desk

A fit out contractor working inside a Business Bay tower called our desk on a Tuesday morning.

They had hired a scissor lift from another supplier, sized by the ceiling height on the drawing. On paper, it was perfect. On site, it was not.

A run of ductwork and a bulkhead sat between the only flat floor area and the light fittings they needed to reach. The scissor could go up. It just could not go over.

The supervisor sounded tired. The crew had been waiting since 7am.

We did not start by recommending a machine. We started by asking questions.

First, we asked for two photos: one showing where the platform stopped, and one showing the bulkhead from the floor. Then we asked for a tape measure reading from the floor to the work point, and the horizontal distance from where a machine could actually stand.

Next came the access check. How wide was the doorway into that area? How big was the service lift lobby? And what was the floor finish, since a scratched floor in a finished tower is a whole new problem.

With those answers, the picture was clear. The job needed up and over reach, not just height. We recommended a compact articulated boom that suited the access, and talked through a tracked spider lift with non marking tracks as an alternative.

We dispatched from our Ras Al Khor yard the same day, timing the truck around the road restrictions. We also suggested the contractor call their original supplier straight away to off hire the scissor lift, so they were not paying for two machines.

The crew finished the run.

The part we liked most came later. That supervisor now sends us photos before every booking. It takes him two minutes, and it has not happened again.

Why does a hired machine end up the wrong size?

Nobody books the wrong machine on purpose. Usually one number was missing or misread.

The most common version we hear is a scissor lift booked by ceiling height when there is a bulkhead in the way. But there are four main patterns, plus one quiet one.

Was it booked by platform height instead of working height?

This is the classic mix up.

Platform height is measured from the ground to the floor of the platform. Working height adds the reach of a person standing in the basket.

JLG defines working height as platform height plus 6 ft, which is about 1.8 m. Much of the rental industry rounds this to about 2 m. So depending on the manufacturer, the difference is roughly 1.8 to 2 m.

That sounds small. On a ceiling or facade job, it is the difference between reaching the fixing and not.

Here is the trap. Some quotes list working height. Some list platform height. Some list both, and the site only reads one. Whenever you book, ask the supplier plainly: is that figure working height or platform height? Then check it against the spec sheet from JLG, Genie or Haulotte for the actual MEWP model.

Was outreach or an obstacle ignored?

Height alone rarely tells the full story on a Dubai building.

Horizontal outreach is how far the platform can reach sideways from where the machine stands. And on most sites, the machine cannot stand right against the work. There is a setback from the building, a canopy over the entrance, a parapet on the podium, a pipe rack in a plant room, a mezzanine edge, or landscaped planters along the facade.

Different machines handle this differently:

If your job has anything between the machine and the work, you need to measure that obstacle too. Our boom lift rental in Dubai covers both telescopic and articulated machines for this reason.

Could the machine not get in or stand safely?

Sometimes the machine would do the job perfectly, if only it could get there.

Check two things: whether it fits, and whether the floor can take it.

Fit means stowed width and stowed height against every point on the route. Doorways. Basement ramps with low headroom. Loading bays. Service lifts. Lift lobbies.

Floor means machine weight and ground bearing pressure against what it will stand on. Raised access floors, podium slabs, interlock paving and marble all have limits. A heavy machine on a delicate finish can leave a repair bill bigger than the hire.

This is where machine choice matters. A tracked spider lift fits through standard doorways and can work on marble. Non marking tyres protect finished floors.

For any machine with outriggers, spreader plates matter too. The Dubai Municipality Technical Guideline for Mobile Elevated Work Platforms strongly recommends suitable spreader plates under outrigger feet, whatever the ground looks like.

Was the load or capacity underestimated?

Platform capacity has to cover everything going up at once: people, tools and materials.

Two technicians with tools is one thing. Two technicians with glass panels, a cable drum or long duct sections is another. Machines that look similar on paper can have very different capacity ratings, so check the actual figure.

For lifting machines, there is a bigger catch. On a telehandler or a crane, capacity falls as reach or radius grows. A crane’s headline tonnage is only available close in. As the boom extends and the load moves further out, the safe working load drops.

So a crane that “can lift 10 tons” may not lift your load where you actually need it placed. Always check the load chart for the actual radius and configuration.

What if the machine is too big for the job?

This is the quiet version of the same problem.

Some sites book big to be safe. Call it renting up. It feels sensible, but an oversized machine brings its own trouble: higher hire cost, harder transport, more ground damage, slower work in tight spaces, and more risk of touching nearby structures.

On a villa plot, an oversized excavator may not have room to slew. In a mall, a big boom may not get past the atrium doors at all.

The goal is not bigger. The goal is right.

Step by step: how to fix a wrong size machine on a Dubai site

Step 1: Stop and keep the crew safe

Do not overreach from the basket. Do not stand on the guardrails or stack materials to gain height. Do not lift outside the load chart or dig where the slew hits the boundary. Park the machine safely and keep the crew clear until the plan is sorted.

Step 2: Record the mismatch

Take photos of where the basket stops, the obstacle in the way, the doorway or ramp, the floor finish, or the trench. A short video helps if the problem is hard to show in a still. Note the time. These records make the conversation with any supplier calm and quick.

Step 3: Measure the five numbers

For access work, measure:

  1. Ground to work point height.
  2. Horizontal distance from the nearest safe standing spot.
  3. Obstacle height and its distance from the machine.
  4. Narrowest access width and height on the route.
  5. Weight going up or being lifted.

For earthmoving, add dig depth, reach and the slew space around the machine. This is the step our Business Bay caller skipped at the original booking.

Step 4: Call or WhatsApp the rental desk

Send the photos and the numbers together. Ask the desk to confirm a specific model, with its working height, outreach, capacity, stowed width and weight, in writing. If they cannot name the model and its figures, keep asking until they can.

Step 5: Agree the swap terms before dispatch

Ask how delivery and collection are handled, when hire on the first unit stops, and which hire term applies to the replacement: daily, weekly or monthly. A good desk confirms any charges before the truck leaves. Get the answer in writing so there are no surprises on the invoice.

Step 6: Plan delivery around access and traffic rules

Book the loading bay, arrange the gate pass, and get building management permission if needed. Then check the route. Dubai’s truck restrictions shape when a replacement can actually arrive, so plan the delivery window with the desk.

Step 7: Handover and check

Do a pre use inspection when the replacement arrives. Check its test certificate and inspection record. If the machine type is new to your crew, ask for operator familiarisation at handover, or request an IPAF trained operator. Our IPAF training in the UAE is there for teams who will use the new type again.

What does a swap look like for different machines?

Every site is different, but certain patterns come up again and again. Here is what we usually see.

Scissor lift that goes up but not over

The ceiling is in reach, but a bulkhead, duct or beam sits in the way.

The usual fix is a compact articulated boom, or a spider lift, which can reach up and over. For indoor work, electric models with non marking tyres keep the air clean and the floor unmarked. If the job really is straight up with clear access, an electric scissor lift of the right height is still the most efficient choice.

Boom lift that stops short of the facade

The boom has the height, but the setback from the building eats the reach. Or it has the reach, but loses height at full extension.

The answer is to check working height and outreach together, on the manufacturer’s reach diagram. Often that means a larger telescopic boom, or an articulated boom with a jib for fine positioning. Here is what a jib adds to a boom lift. This is common on facade cleaning, signage and glazing jobs, and our man lift rental range runs from 8 m to 43 m for that reason.

Machine that cannot get through the door or onto the floor

The machine would work, but it cannot get past a hotel lobby door or onto a mall atrium floor.

A tracked spider lift is often the answer. It fits standard doorways and works on marble. For smaller jobs, a narrow electric scissor lift may squeeze through. Either way, plan floor protection along the route.

Excavator too big for a villa plot or too small for the trench

On tight villa plots, a large machine damages interlock and cannot slew inside the boundary. Switching to a 2, 3 or 5 ton mini excavator with a short tail swing usually solves it.

The opposite also happens. For deep trenches or bulk excavation, a small machine simply cannot reach, so moving up to a 20 or 30 ton excavator makes sense.

And sometimes the job is more about loading and moving material than digging. Then a JCB 3CX backhoe loader or a Bobcat skid steer fits better.

Crane that can lift the weight but not at the radius

This is almost always a radius problem, not a tonnage problem. The crane can lift the load close in, but not where it needs to go.

The fix might be a larger crane, a different set up position closer to the lift, or a different configuration. That decision belongs to a competent lift planner working from the load chart, not a guess on the day. Our mobile crane rental team can talk through all terrain and truck mounted options once the lift plan is clear.

Who pays when a hired machine is the wrong size?

Let us be honest and neutral here.

If the site gave the wrong information, the second delivery is usually the hirer’s cost. If the supplier sent a different machine from what was agreed in writing, raise it with the supplier straight away, with your photos.

Common hire terms in the industry place responsibility on the hirer to confirm the site is suitable for the machine. The UK CPA Model Conditions, for example, include this in clause 7(a). That is UK industry practice, not UAE law, but many hire agreements follow similar wording.

This is exactly why written confirmation of the model and its specification matters. It protects both sides.

If the wrong size machine was on a monthly term, the timing of the swap and the off hire affects the bill too. Our guide on ending a long term hire early covers that. And for a broader view of what affects boom lift hire cost, see our pricing guide.

Always read your own hire agreement. This is general guidance, not legal advice.

The Dubai Municipality MEWP guideline expects employers to carry out a risk assessment to select the safest and most practicable equipment for the work. This checklist is a simple way to do that before the truck arrives.

Why Dubai sites make sizing harder

Dubai buildings bring their own sizing traps.

Tall atriums and podium levels hide obstacles you only see on site. Basement ramps often have low headroom. Tower loading bays run on booking slots, so a wrong machine can mean losing your slot as well as your day. Malls and hotels use marble and porcelain finishes that need protecting. Villa plots have tight boundaries and finished paving.

Then there is the road. Since 1 October 2026, new truck movement restrictions apply across Dubai, announced by RTA and Dubai Police:

Check RTA for the latest before planning a delivery.

This is one reason our yard location in Ras Al Khor helps. Being central lets us plan routes and timings that work around the restrictions, so a replacement reaches your site as quickly as the rules allow. And if your problem is a supplier who cannot get any machine to you on time, see if your supplier cannot deliver on the start date.

How Dream Way helps you get the size right (and fix it fast when it is not)

The best wrong size problem is the one that never happens. That is why our desk asks for photos before dispatch, every time. As we tell customers, “Two photos now save a second truck later.”

When you book with us, you get professional guidance on choosing the right machine, not just a price. We ask the questions in this guide, and we confirm the model and its key figures before it leaves the yard.

If something is still not right on site, we offer 24/7 on site support and a machine swap. With same day delivery on most equipment from Ras Al Khor Industrial Area 2, a fix rarely costs the whole week.

Because our full rental fleet covers access, lifting and earthmoving, we can often switch category as well as size from the same yard. Scissor to articulated boom. Large excavator to mini. That flexibility is what makes a swap fast.

Every machine is checked before leaving the yard, with current test certificates and inspection logs. We rent on daily, weekly and monthly terms, and supply IPAF trained operators on request. You can see our wider heavy equipment rental across the UAE too.

FAQ

Can I swap a rented machine if it is the wrong size?

Yes, in most cases. Stop using it for the task, photograph the problem, measure what the job needs, and contact the rental desk. A good supplier will confirm a replacement model in writing and arrange delivery and collection. Ask how charges and the hire period are handled before the truck leaves.

How much higher is working height than platform height?

Working height is usually about 1.8 to 2 m higher than platform height, depending on the manufacturer. JLG, for example, adds 6 ft (1.8 m) for a person’s overhead reach. Always ask the supplier which figure they are quoting, because some quotes list working height and some list platform height.

Should I choose an articulating or telescopic boom lift?

Choose a telescopic boom for long, straight reach with clear access. Choose an articulating boom when you need to work up and over obstacles such as canopies, parapets, pipe racks or bulkheads. If anything sits between the machine and the work, an articulating boom is usually the safer choice.

When is a spider lift better than a scissor lift?

A spider lift is better when you need outreach, up and over reach, or access through standard doorways onto delicate floors like marble. A scissor lift is better for straight up work with clear access and a large platform area. Tracked spider lifts suit hotel lobbies, mall atriums and finished interiors.

Why can a crane lift less than its rated tons?

A crane’s rated tonnage is only available at short radius. As the boom extends and the load moves further out, capacity falls. That is why a crane can lift a load close in but not at the radius your site needs. Always check the load chart for the actual radius and configuration.

What should I send the rental company before booking?

Send photos of the work area, route and floor, plus five measurements: ground to work point height, horizontal distance from where the machine can stand, obstacle height and distance, narrowest access width and height, and the weight going up. For earthmoving, add dig depth, reach and slew space.

How fast can a replacement machine reach a site in Dubai?

Often the same day, depending on stock, location and road rules. Dream Way offers same day delivery on most equipment from Ras Al Khor. Since 1 October 2026, RTA truck restrictions apply on several Dubai roads, so the delivery window is planned around them.

Who pays the delivery if the machine was the wrong size?

It depends on why it was wrong. If the site gave incorrect information, the hirer usually pays for the second delivery. If the supplier sent a different machine from what was agreed in writing, raise it with them straight away. Check your hire agreement, and ask the desk to confirm any charges before dispatch.
