You called three suppliers. Three day rates came back sounding roughly the same. Then one invoice arrived higher than the quote, because of a transport line nobody mentioned on the phone.

That is why people search for equipment rental free delivery in Dubai, and it is a fair thing to be suspicious about.

This page explains what free delivery genuinely covers here, what almost always sits outside it, and how to book so it actually stays free. It is written from the delivery desk in Ras Al Khor Industrial Area 2, where machines leave for sites across Dubai every working day.

Some of what follows is us telling you what we would charge for. That is deliberate. A supplier who only tells you what is free is not telling you much.

Does Equipment Rental in Dubai Include Free Delivery?

It depends on the supplier. Some Dubai rental companies quote a day rate and add mobilisation and demobilisation as separate transport lines. Others, including Dream Way, include delivery and pickup in the rental package. Free normally means one standard delivery and one standard collection, within the service area, during standard hours, to a site the truck can reach.

Three variables decide it every time: distance from the yard, site accessibility, and timing. Everything else in this article is detail hanging off those three.

Delivery and pickup are included in our rental package, across equipment rental services in Dubai.

Now the honest framing. Transport is never actually free. It is either priced into the rate or billed separately. What you should care about is the total landed cost, not the label on the line.

Which also means a separate transport line is not automatically a scam. It is a different pricing model. Your job is to compare like for like, and most people do not know how.

Free delivery versus a separate transport line: how to compare two quotes

Picture two quotes for the same three day hire.

Quote A has a lower day rate, plus a mobilisation line, plus a demobilisation line.

Quote B has a slightly higher day rate with transport included.

Which is cheaper depends entirely on numbers neither quote shows you side by side. So ask one question and settle it: “What is the total amount on the invoice for a three day hire delivered to my site, including VAT?”

Two things people miss when doing that sum. VAT at 5 percent applies to transport charges as well as to hire, so a separate transport line grows slightly more than its headline suggests. And on a short hire, the transport line can approach or exceed the value of the hire itself.

That is the whole point. On a one day scissor lift job, transport is a large share of what you pay. On a one month excavator hire, it barely registers. Free delivery matters most on two and three day jobs, which is exactly where most first-time renters are.

If you are still deciding how long to book for, daily, weekly and monthly rental explained works through the break even properly.

What Free Delivery Actually Includes and What It Does Not

We would rather tell you this before the truck rolls than argue about it after. Everything in the right-hand column is a cost somebody genuinely incurs, not a penalty invented to catch you out.

ItemNormally includedNormally chargeable, and why
Standard delivery to siteYes, one trip, within the service areaA second trip for the same machine is a second truck movement
Standard collection after off-hireYes, one tripSame as above
Loading at our yardYesDone with our own equipment and staff
Offloading at your siteYes, where the machine can be driven or tracked off safelyCrane or forklift offload, because a lifting appliance and supervisor must be arranged
Delivery inside the standard service areaYesDistance from Ras Al Khor drives fuel, driver hours and truck utilisation
Delivery to remote or out-of-emirate locationsCase by caseA long haul takes a truck out of rotation for most of a day
Delivery during standard working hoursYesDriver hours are already covered
Night, early morning or public holiday deliveryUsually chargeableOvertime, and in some corridors a restricted-hours movement permit
Waiting time at your gateA short reasonable grace periodBeyond that the truck is on standby and cannot serve another customer
Failed delivery and re-deliveryNoThe trip was made, the cost was incurred, the machine came back
Abnormal load permits and escortCase by caseIssued and priced by the authority, not by us
Site preparation, ramps, plating, ground protectionNoThat is site works, not transport
Fuel, consumables, operator, insurance excessNo, separate commercial itemsNot transport at all, listed so you stop conflating them

Read that table and it can look like a long list of exceptions. In practice it is not. The overwhelming majority of deliveries we run are a standard truck to a reachable Dubai site inside working hours, and nothing in the right column ever comes up.

The two rows that actually bite are waiting time and re-delivery, and both are almost entirely preventable by the customer. There is a whole section on that below.

Not sure whether your site falls inside our free delivery area? Send us the location pin on WhatsApp and we will tell you straight away, before you commit to anything. Call 056 857 8181 or 054 581 9331, or message the same number on WhatsApp.

What “one trip each way” means in practice

One truck goes out with the machine. One truck comes back for it. That is what is included.

If you decide mid-hire that you need a bigger machine, that is a new delivery and a new collection, not a free exchange.

Unless the swap is because our machine failed. If a Dream Way machine breaks down through no fault of yours, the replacement trip is on us. That one is worth saying plainly, because not every supplier will.

Moving the machine between two of your own sites during the hire is a transfer, not a delivery. Tell us at booking if you know it is coming and we will quote it rather than surprise you with it.

The Words on a Dubai Plant Hire Quote, Translated

If you can read a rival quote line by line, you can compare properly. Here is the vocabulary.

Mobilisation and demobilisation

Mobilisation is the cost of getting the machine from the yard to your site. Demobilisation is getting it back. Together they are the round trip.

They often show as two separate lines because on some contracts only one leg falls inside a given billing period. On other quotes the same thing appears as a single “transport” or “T&L” line.

Here is the trap. A quote showing only mobilisation may still add demobilisation at the end. Ask for both, in writing, before you sign anything.

Lowbed, flatbed and self-drive delivery

Machines reach site three ways.

A lowbed trailer carries large excavators, big boom lifts and road rollers. A flatbed or recovery truck carries scissor lifts, small bobcats and generators. Very short local moves are sometimes driven under the machine’s own power where that is permitted.

The machine class chooses the truck, and the truck choice is the main cost driver, not the distance alone. A short trip on a lowbed can cost more than a long one on a flatbed.

It matters at your gate too. A lowbed needs a straight approach and a wide swing. A flatbed can work off a narrower kerb. That difference decides more bookings than people expect, particularly on villa plots and in older industrial lanes.

Machine classes that typically travel on a lowbed include backhoe loader rental in Dubai and boom loader rental in Dubai.

Standby, waiting time and re-delivery

Standby is what happens when the truck is on site but cannot offload. The clock starts after a grace period.

Re-delivery is a second full trip after a failed first attempt.

These are the two lines that most often turn a free delivery into a chargeable one. They are also, almost without exception, preventable. The prevention section below covers every cause we see.

Abnormal load permits and escorts

Oversize or overweight movements need a permit and an approved route. That is an authority process, not a rental company decision, and the cost sits with the authority. RTA operates a dedicated mobility permit service for heavy construction vehicles that covers movements in restricted times and on restricted roads.

Indicative national thresholds referenced in UAE guidance put maximum width around 2.6 m and maximum height around 4.6 m, with axle-based weight limits above which a special movement permit and route approval are required. Treat those as indicative and confirm current figures with the transport authority before relying on them.

A route check looks at bridge and utility clearance, turning radius at your gate, lane width, gradient, weight-sensitive structures, restricted-hour corridors, and whether an escort vehicle is required.

For the overwhelming majority of our fleet on normal Dubai sites, none of this applies. It comes up on the largest excavators, the biggest boom lifts and mobile cranes. If your job is in that bracket, tell us early so the permit lead time sits inside your programme rather than outside it.

How to Book a Machine in Dubai, Step by Step

This is what actually happens at our desk, in order.

Step 1: describe the job, not the machine

Tell us the task, not a machine name you remember from a previous site. Working height, lift weight, dig depth, surface, indoor or outdoor, duration.

That is how we avoid sending something too big, which costs you money and sometimes cannot get through your gate at all.

Three examples of what that sounds like. “A 9 metre ceiling in a Business Bay office” points to scissor lift rental in Dubai. “A facade at 14 metres with a landscaped strip in the way” points to boom lift rental in Dubai. “A footing trench on a JVC villa plot” points to a mini excavator, and choosing a mini excavator for a villa project covers the sizing.

Your action: describe the task in one message.

Step 2: share the site location as a pin, not an address

A Google Maps pin is worth more than a plot number. Dubai plot numbering and community naming confuse drivers and delay trucks, and a delayed truck is how grace periods get used up.

The pin is also what lets the desk confirm in seconds whether your delivery sits inside the free service area.

The places this matters most: new JVC and Dubai South plots with no signage yet, industrial lanes in Al Quoz and Ras Al Khor where unit numbers run in an order only the neighbours understand, and gated communities where the pin drops at the wrong gate entirely.

Your action: send the pin on WhatsApp.

Step 3: confirm access and how the machine comes off the trailer

The desk will ask about gate width, whether the approach is straight, overhead cables or canopies, ground surface and firmness, ramps or kerbs, space to swing the trailer, and whether another vehicle is usually parked where the truck must stand.

Then the question that decides whether the trip stays free: can the machine come off the trailer under its own power, or does something have to lift it?

The single most useful thing you can send us is a 20 second phone video of the last 50 metres of the approach. It answers half the questions above without anyone typing.

From the yard. A small villa contractor in JVC ordered by machine name from a previous job, and that class needed a lowbed. The community road had cars parked both sides, and the plot gate had a pillar that made the effective opening smaller than the drawing suggested. We asked for a short video of the approach before dispatch, spotted the pillar, switched to a smaller machine on a flatbed that could still do the dig, and delivered the same morning. The machine that suits the job is not always the machine that fits the gate, and the gate wins.

Your action: send a 20 second video of the approach.

Step 4: agree the delivery window, not just the date

RTA restricts truck movement on major corridors during peak periods, so “morning” is not a plan. A window is.

The desk works backwards from your working hours, the corridor restrictions and your gate pass status, then gives you a slot. That is not us being awkward. It is us making sure the truck arrives when it can actually get in.

Ramadan working hours and the summer midday break both compress the usable delivery day, and we plan around them rather than through them.

Your action: give us your working hours and any site-imposed delivery window.

Step 5: sort the gate pass and site documents before the truck leaves

Gated and free zone locations need a pass for the vehicle: JAFZA, DAFZA, DMCC, Dubai Internet City, Dubai South, and DIP. Towers and malls need building management approval, and in certain jurisdictions Trakhees requirements apply on top.

The pass is issued by the zone or building, not by the rental company. You or your main contractor normally raise it. This trips up more first-time renters than anything else in this article.

A pass request usually needs the truck plate, driver name and ID, machine description, the date and time window, and the receiving contact. Some sites also want Dubai Municipality or Dubai Civil Defence documentation depending on the works.

From the yard. A warehouse and logistics operator hiring a forklift for the first time confirmed the site was ready, and the truck was dispatched to Jebel Ali Free Zone. At the gate the driver was stopped, because no vehicle pass had been raised for the truck plate. The customer assumed we arranged it. The zone assumed the tenant would. We held the truck at a nearby lay-by rather than sending it straight back, walked the customer through raising the pass with the plate and driver details, and got the machine in later the same day. The gate pass belongs to whoever holds the tenancy, and it is the number one reason a free delivery becomes a second trip in a free zone.

Your action: confirm the gate pass status before we dispatch.

Step 6: nominate a person who will actually be there

The delivery note needs a signature from somebody authorised. “The site is open, just come” is how failed deliveries happen.

At handover we do a visual check of the machine with your person, give the safety and operational briefing, note the hour meter or fuel reading, and hand over the documents. What to expect on delivery day walks through the whole sequence.

Your action: give us a name, a mobile, and a backup number.

Step 7: confirm in writing and keep the quote

Get the quote in writing with the hire rate, the hire period, what is included, VAT shown separately, and an explicit line stating that delivery and collection are included.

That protects both of us. It also means nobody is relying on what somebody remembers from a phone call three weeks ago.

Note the off-hire process at the same time, because collection is booked the same way delivery is. How to off-hire a machine correctly covers what that involves.

Ready to price it properly? Send the eight lines from the checklist below to 056 857 8181 on WhatsApp, or email sales@dreamwayrental.com, and we will come back with the machine, the hire rate, the delivery window and a written confirmation that delivery and pickup are included. VAT at 5 percent is always shown separately, so the number you see is the number you pay.

Information We Need From You to Confirm Free Delivery

Copy these eight lines into a message and you are done.

  1. What the machine has to do: height, weight, depth, surface, indoor or outdoor
  2. Hire duration and start date
  3. Google Maps pin for the site
  4. Gate or entrance width, and whether a large truck can turn in
  5. Ground surface at the offload point, and whether it is level and firm
  6. Whether you have a gate pass or need time to raise one
  7. Site contact name and mobile, plus a backup number
  8. Whether you need an operator or will operate it yourself

Send those eight lines and the desk can normally confirm the machine, the price and the delivery slot in a single reply.

Items 4 and 5 are the two that most often change the answer. Item 6 is the one that most often changes the date. If your site is inside a free zone or a tower, expect the gate pass question first.

Timing, Cut Offs and What “Same Day Delivery” Really Means in Dubai

Truck movement restrictions on Dubai roads

The RTA applies restricted movement windows for heavy and commercial vehicles on major corridors during peak periods. Sheikh Zayed Road, Al Ittihad Road, Ras Al Khor Road and Al Khail Road are commonly affected.

Published windows vary by route and are updated periodically, and sources genuinely disagree on the exact times. So check the current RTA schedule rather than trusting a figure from an article, including this one.

Special movement permits can be applied for through the RTA where a restricted-hours movement is justified. They take time and they are not automatic.

The practical consequence for you is simple. A delivery planned into a peak window is a delivery that arrives late, which is why the desk will steer you towards a window that works rather than the one you asked for.

What has to be true for same day delivery

Five things, all at once:

Same day is realistic for common fleet going to accessible Dubai sites. It is much harder for a lowbed load going into a gated zone, because the pass and the route both have to line up.

One honest distinction while we are here. Our desk is available 24/7 for enquiries. That is not the same as 24/7 free delivery. Out of hours movement carries overtime and sometimes a permit, and we would rather say so than let you assume otherwise.

Ramadan hours, summer midday break and public holidays

The summer midday break restricts outdoor work through the hottest part of the day, which compresses the window in which your site can actually receive and offload a machine.

Ramadan shifts working hours and changes the traffic pattern sharply around iftar. The desk plans around both.

Public holidays bring a different problem: gates in free zones and building management offices may be closed even when your own site is working.

Practical advice: on the days around a public holiday, book the collection early, or you pay for hire days you did not use.

From the yard. A mid-size contractor on a monthly earthmoving hire in Dubai Investment Park finished the work the day before a public holiday, but never gave off-hire notice. The site gate office was closed over the holiday, so collection could not happen, and the hire clock kept running. We now flag holiday closures at the start of a monthly hire and ask customers to plan the collection date before a long weekend. Collection is included, but it still has to be booked. Free pickup is not automatic pickup.

Things That Turn a Free Delivery Into a Chargeable Trip

Every one of these has a one line fix. That is the point of the section.

Nobody on site to receive the machine

The truck arrives. The gate is locked or the contact does not answer. The driver waits. Standby starts. The truck goes back loaded.

This is the most common cause of a chargeable trip and the easiest thing on this page to prevent.

Fix: nominate a person, give a backup number, and confirm the window the evening before.

From the yard. A fit-out and joinery company booked a man lift for a showroom ceiling in Al Quoz, early on a Saturday morning. The only person with the unit key was still on his way, and his phone was on silent. The truck sat in a narrow service lane blocking another unit’s shutter. We called the office landline and the backup number, which was thankfully on file, got a neighbour to open the shared yard, and offloaded inside the grace period. A single mobile on silent is the difference between an included delivery and a re-delivery. If you are hiring man lift rental in Dubai into a shared industrial yard, that second number matters more than usual.

The truck cannot physically reach the offload point

Parked vehicles blocking the approach. A gate narrower than described. A tight turn in a villa community. Soft sand or loose fill. A low canopy or overhead cable. A kerb-side barrier that was not there last month.

The driver will not force it, and he is right not to. A damaged gate, a dropped kerb or a machine tipped off the ramp is a far bigger bill than a return trip.

Fix: send a 20 second video of the last 50 metres of the approach.

The machine cannot self-offload and a lifting appliance is needed

This happens on rooftop deliveries, basement levels, podium slabs, plant rooms, and sites reachable only across a slab with a load limit.

A crane or forklift offload means arranging a lifting appliance, a certified operator and a lifting plan. That is a separate scope, and it is not something a delivery driver can improvise at your gate.

Fix: tell the desk at enquiry stage that the offload point is not at ground level, and we will quote the lift up front instead of discovering it on the day.

From the yard. A facilities management team replacing a rooftop unit in Deira described the job as “small machine on the roof”. Nobody mentioned the roof was reached by a stair core, so no machine was ever going to be driven up there. The delivery had been booked as a standard offload. We caught it when the desk asked where exactly the machine comes off the trailer, stopped the booking, and re-quoted with a spider crane and a lifting scope, so the customer had one price up front instead of two surprises. If your offload point is not at ground level, what a spider crane actually is explains why it is usually the answer, and spider crane hire for lifts into awkward places is the machine itself.

Out of area, out of hours, or out of sequence

Out of area: deliveries well beyond the standard service area, including some Northern Emirates and remote Abu Dhabi locations, are quoted case by case.

Out of hours: night, very early morning and public holiday movements carry overtime and sometimes a restricted-hours permit.

Out of sequence: a same-machine re-delivery, an unplanned inter-site transfer, or an emergency collection outside the agreed off-hire notice.

Fix for all three: say it at enquiry stage and it becomes a quoted line rather than a surprise.

Permit and escort requirements on larger loads

On the largest machines the movement itself needs authority approval and possibly an escort, and that is a third-party cost we pass through rather than absorb.

This applies to a small minority of the fleet. Most Dubai jobs never touch it.

Fix: give the desk the machine size requirement early, so any permit lead time sits inside your programme.

If you want the wider version of this list, mistakes first-time renters make in Dubai covers the thirteen we see most.

Two Real Booking Scenarios From the Yard

A three day scissor lift into a Business Bay office fit-out

A fit-out contractor called with a client handover date already fixed and a working height in mind for the atrium. Reasonable request, and the machine he named would have done the job.

Except the desk asked a different question first: what is the height restriction on the tower’s loading bay, and what are the goods lift dimensions?

He did not know. He went and found out, and the answer changed the booking. The machine he had asked for could not enter the bay on the truck. Building management also only allowed deliveries inside a fixed window that had nothing to do with his own working hours.

We proposed a machine class that met the reach he needed and fitted the bay, and timed the truck to the building’s allowed slot rather than to his preferred morning.

One trip out, one trip back, delivery and collection included, handover done inside the permitted window. No standby, no re-delivery, no argument at the end of the month.

In a tower, building management controls when your machine can arrive. Not you, and not us. Ask them before you ask us.

A mini excavator onto a villa plot in JVC

The second scenario is the JVC gate story from Step 3, and it is worth seeing in full because of what the fix actually was.

The customer ordered by machine name, carried over from a previous project on a more open site. That class needed a lowbed. The JVC community road had cars parked both sides all day, and the plot gate had a structural pillar that made the real opening narrower than the drawing showed.

Had we dispatched on the original booking, the lowbed would have reached the community, failed to turn in, and gone back to Ras Al Khor loaded. That is a re-delivery, a lost morning, and a machine still not on site.

Instead we asked for a video of the last stretch. The pillar was visible in about four seconds of footage. We switched to a smaller machine class on a flatbed, which could still reach the dig depth the footings needed, and delivered the same morning.

The machine that fits the job is not always the machine that fits the gate, and the gate wins every time.

Book the machine now and we will handle the transport. Delivery and pickup are included in your rental package, our desk is available 24 hours a day, and our yard in Ras Al Khor Industrial Area 2 dispatches across Dubai and the wider UAE every day. Call 056 857 8181 or 054 581 9331, WhatsApp the same number, or email info@dreamwayrental.com. Tell us what the job needs and send the site pin, and we will confirm your delivery slot.

Frequently Asked Questions

Is delivery included in equipment rental prices in Dubai? It varies by supplier. Some quote a day rate and add mobilisation and demobilisation as separate transport lines. Dream Way includes delivery and pickup in the rental package. Neither model is dishonest, but you cannot compare two quotes until you know which one you are looking at.

What is a mobilisation charge in plant hire? Mobilisation is the cost of moving the machine from the yard to your site. Demobilisation is the return leg. Some quotes show them as two lines, others combine them into a single transport or T&L line. A quote showing only mobilisation may still add demobilisation at the end.

Is there a free delivery radius in Dubai? Free delivery is defined by a standard service area rather than a hard radius line drawn on a map, because access matters as much as distance. Send the location pin and the desk will confirm in seconds. A site fifteen minutes away with no truck access is a harder job than one further out with an open gate.

Do I pay for collection as well as delivery? With Dream Way, collection is included alongside delivery. It does still need booking though. Give off-hire notice so the collection can be scheduled, because a machine nobody has asked us to collect stays on hire and keeps charging.

How much does it cost to transport an excavator in Dubai? It depends on machine class, trailer type, distance from the yard and site access, with the trailer type usually mattering more than the distance. With delivery included in the rental package you do not pay it as a separate line at all, which is the simplest answer to the question.

Can I get equipment delivered the same day in Dubai? Often yes, for common fleet going to accessible sites. Five things have to line up: machine availability, confirmed access, no pending gate pass, a route outside restricted hours, and the request arriving before the dispatch cut off. Lowbed loads into gated zones are much harder to turn around same day.

What time can heavy trucks deliver in Dubai? Outside the RTA restricted movement windows on major corridors such as Sheikh Zayed Road and Al Khail Road. Those windows vary by route and are updated periodically, so check the current RTA schedule. The desk plans your delivery window around them so the truck is not sitting in a restriction.

Do I need a permit to move heavy equipment in Dubai? Standard machine movements on standard trailers do not need a special permit. Oversize or overweight loads do, and the route is approved as part of that process. It applies to a small minority of fleet, typically the largest excavators, big boom lifts and mobile cranes.

Who offloads the machine at my site? The driver and delivery crew, where the machine can come off the trailer under its own power. If the offload point is a roof, a basement, a podium or anywhere needing a crane or forklift, that is a separate arranged scope with its own lifting plan. Tell us at enquiry stage, not on the day.

What happens if my site is not ready when the truck arrives? The truck waits for a short grace period, then either offloads or returns loaded. A return trip means a re-delivery. Nominating a named site contact with a working backup number prevents almost every instance of this, and costs you nothing.

Is delivery to Sharjah, Ajman or Abu Dhabi free too? We serve the wider UAE, and out-of-emirate movements are quoted case by case rather than assumed free. A long haul takes a truck out of rotation for most of a day. Ask at enquiry stage and get the answer in writing before you book.

Does the price include VAT, fuel and an operator? VAT at 5 percent is shown separately on the invoice. Fuel and operator are separate commercial items and always have been, at any supplier. Delivery and pickup are included in the package. A trained and certified operator is available on request if you need one.
