Most days a machine leaves our yard in Ras Al Khor and the job runs clean. The days it does not almost always trace back to one of the same thirteen decisions, made before anybody picked up the phone.
This is about hiring construction and access equipment: boom lifts, scissor lifts, excavators, forklifts, generators and cranes. Not cars, not apartments. If you are hiring one of those machines in Dubai for the first time, this page is for you.
Thirteen mistakes. What each one looks like, why it happens, what it costs, and the single check that prevents it.
We will also name the charges that suppliers usually leave out of a phone quote, including some of ours. That part is not comfortable, but it is the only honest way to write this.
The Short Answer: What First-Time Renters in Dubai Get Wrong Most Often
The most common mistakes first-time equipment renters make in Dubai are choosing a machine by day rate instead of by task, misreading working height, ignoring site access and ground conditions, assuming an operator and insurance are included, skipping the third party inspection certificate, and signing the contract without checking damage, breakdown and delivery clauses.

Mistake 1: Choosing the Machine by Day Rate Instead of by the Job
What it looks like
You call three suppliers, ask each one “how much per day for a boom lift”, and book the lowest number. The machine arrives and cannot reach, cannot fit, or cannot lift what you need lifted.
Why it happens
It is a procurement habit imported from office supplies. Treat the machine as a commodity line item and compare the only number you know how to compare.
What it costs
A wasted hire day, a second mobilisation, and a crew standing still. The labour cost of a stalled crew is almost always a multiple of the gap between the cheap machine and the correct one.
How to avoid it
Lead with the task. What height, what load, what surface, indoor or outdoor, how many days, how much access width. Then ask the supplier to recommend from that description and to explain why.
Here is your warning sign: a supplier who quotes a rate without asking a single question about your site.
We will talk a customer down to a smaller machine when the job does not need the bigger one. That is better business for us than sending something that comes straight back.
What we see at our yard
An interior fit-out company on a Business Bay office handover booked purely on the cheapest scissor lift day rate, without mentioning the polished floor or the ceiling void depth. The machine could not be used on that floor and the reach was short anyway. We swapped it for an electric non-marking unit at the correct platform height the same day.

Mistake 2: Confusing Platform Height With Working Height
What it looks like
You need to work at 12 metres. You order a “12 metre” lift. The platform tops out at 12 metres, leaving nothing for the person standing on it.
Why it happens
Manufacturers and rental listings quote both numbers, and often do not label which is which. Working height is conventionally platform height plus roughly two metres, to account for a person’s reach from the platform.
This and the certificate expiry question are the two things that get confused most often at our counter.
What it costs
An entire wasted day and an emergency swap, usually at short notice when the right unit may already be out on another job.
How to avoid it
Measure to the work, not to the ceiling. A light fitting at 9.5 metres in a Dubai Investment Park warehouse needs roughly 7.5 metres of platform height, not 9.5.
Then ask two questions every single time: what is the platform height, and what is the horizontal outreach at that height. On facade work, outreach decides the job more often than height does.
Send a photo of the elevation before you book. It takes a minute.
What we see at our yard
A signage contractor in Al Quoz ordered on a height number alone for a fascia sign. The platform reached the height, but a landscaped verge meant it could not sit close enough to the wall to work. We moved them to an articulating boom lift rental in Dubai with the outreach the elevation actually needed. On facade work, outreach beats height.
Mistake 3: Ignoring Ground Conditions, Access Width and Floor Loading
What it looks like
A wheeled machine ordered for soft sand. A diesel machine ordered for an indoor mall handover. A lift too heavy for a suspended slab. Or a lowbed, which is the low flatbed trailer machines travel on, that cannot turn into a JVC villa plot because the community road is narrow and cars are parked both sides.
Why it happens
You are picturing the machine at work. You are not picturing it arriving and travelling to the work position.
What it costs
Failed delivery, machine back to the yard, and the hire day usually still charged. Recovering a bogged machine costs more than the hire itself.
How to avoid it
Have five site facts ready before you call: gate width, turning radius, surface type, slope, and whether the machine travels over a slab or a basement.
Match the drive to the surface. Electric with non-marking tyres for finished floors. Rough terrain and four wheel drive for open ground. Outrigger pads spread the load from a machine’s stabiliser legs, and spreader plates do the same job over a larger area on soft or suspended ground.
If access is genuinely tight or the floor is delicate, spider lifts and spider cranes fold down narrow enough to pass a doorway and spread their weight properly. That is often the real answer on a villa or a finished interior. For open plot work, a backhoe loader rental needs firm ground under it, not fresh fill.
What we see at our yard
A small main contractor on a villa extension in Arabian Ranches had a community road too narrow for the lowbed to turn into, with cars parked both sides all day. Nobody had thought about the driveway slab either. We moved to an early morning delivery window, used a smaller unit that could be walked in, and briefed the driver on the approach beforehand. Plan the arrival, not just the work.
Mistake 4: Assuming an Operator Is Included
What it looks like
The machine arrives on dry hire. Nobody on site is certified to run it. Work does not start. Or the reverse: you pay for an operator for a full hire period when your own certified staff could have run the machine.
Why it happens
“Rental” reads as a full service in most other industries. In plant hire, wet hire and dry hire are two different products at two different prices.
Dry hire is the machine only. Wet hire is the machine plus a trained and certified operator.
What it costs
A lost day, or an unnecessary operator charge across the whole hire.
How to avoid it
Confirm wet or dry hire in writing at booking, not on the phone. We offer both, and certified operators are available on request.
On licensing: UAE driving licence categories cover forklift operation specifically, with separate categories for forklift and heavy forklift. Which category or certification applies depends on the machine, so confirm the requirement with your supplier and your own HSE officer for the exact unit you are hiring.
There is a second layer people miss. Many Dubai sites, free zones and main contractors impose their own operator competency requirements on top of the legal minimum. Your client’s HSE approval matters as much as the licence does.
We give a basic operational briefing at handover on dry hire. That is a briefing, not a substitute for certification, and we will say so.
What we see at our yard
A logistics tenant in JAFZA assumed the boom lift came with a driver, so nobody certified was rostered for delivery day. We supplied a certified operator at short notice and walked them through the wet and dry hire split for the rest of the hire. The same question applies to man lift rental and every other access machine.
Mistake 5: Never Asking for the Third Party Inspection Certificate
What it looks like
The machine arrives on a main contractor’s site. Site HSE asks for the third party inspection certificate, usually called the TPI certificate. Nobody has it. The machine is refused entry or red-tagged on the spot.
Why it happens
First-time renters do not know the document exists, and a weak supplier will not volunteer it.
What it costs
The machine goes back and the hire day is usually still billable. On a contractor-controlled site it also costs you credibility with your client, which is harder to get back than the money.
How to avoid it
Lifting equipment in the UAE is subject to third party inspection under frameworks including the Dubai Municipality construction safety code, and Dubai Municipality publishes technical guidelines for the examination and certification of cranes, hoists, lifts and other lifting equipment under reference DM-HSD-GU48. Abu Dhabi work falls under OSHAD requirements, and ADNOC facilities apply their own HSE standards on top.
Intervals typically seen in UAE practice: cranes and lifting accessories on roughly a six month cycle, MEWPs (mobile elevating work platforms, meaning scissor lifts and boom lifts) commonly six months, forklifts and telehandlers commonly annual with six months applied in some sectors, and hoists on a shorter cycle. The exact requirement depends on the authority, the site and the equipment class, so confirm it with your site HSE and against the certificate itself.
Ask for the certificate before delivery, not on arrival. Then check three things on it: the machine serial number matches the machine you are getting, the issuing body is recognised on your site, and the expiry date covers your whole hire period rather than just day one.

What we see at our yard
An MEP subcontractor working under a main contractor in Dubai South arrived at the site gate with no inspection documentation and site HSE refused entry. We sent the paperwork through and matched the serial number before the machine went back out. Ask before dispatch, and check the expiry against your last hire day, not your first.
Mistake 6: Assuming the Rental Company’s Insurance Covers Everything on Your Site
What it looks like
The machine is damaged, stolen from an unsecured plot overnight, or causes damage to a third party. You assume the owner’s policy handles it. It does not, or not fully.
Why it happens
The word “insured” in a sales conversation gets heard as total cover.
What it costs
Full replacement or repair value, plus loss of hire while the machine is off the road. This is the single largest financial risk anywhere in this article.
How to avoid it
Two engineering policies are in play in the UAE. Contractors All Risk (CAR) insurance covers the works. Contractors Plant and Machinery (CPM) insurance covers construction plant against accidental damage, theft, fire and breakdown, and can include third party liability arising from the insured equipment. Some UAE insurers offer a hired-in plant extension covering equipment temporarily rented for a project.
The important part: responsibility for hired-in plant is set by your rental contract, not by custom. Read the clause and confirm the position with your broker.
Four questions to ask before delivery:
- Is the machine insured, and by whom?
- What is excluded?
- What is my liability limit or excess if it is damaged on my site?
- Do I need a hired-in plant extension on my own policy?
Watch the practical trigger points: theft from an unfenced plot overnight, damage while your own untrained staff operate the machine, damage in transit if you arrange your own transport, and third party property damage.
We confirm in writing what is and is not covered on a given hire, rather than making a blanket claim on a website.

A small civils contractor in Al Qusais left a machine on an unfenced plot overnight and assumed our cover handled everything. We walked them through what the contract actually allocated, before their next hire rather than after a loss. Read the damage and theft clause before the machine arrives.
Mistake 7: Signing the Contract Without Reading the Clauses That Actually Bite
What it looks like
The contract gets signed on a phone screen at the gate while the driver waits and the crew watches.
Why it happens
Urgency. The truck is there, everyone is standing around, and reading feels like you are the one causing the delay.
What it costs
Every dispute later in this article traces back to this exact moment.
How to avoid it
Six clauses matter more than the rest:
- Damage and excess. What you owe if the machine is damaged, and your maximum exposure.
- Breakdown and replacement. What response time is committed, and whether a replacement machine is guaranteed.
- Geographic limit. Whether the machine can move to a second site, or to another emirate.
- Fuel and return condition. What state it must come back in.
- Hire period and off-hire. When the clock starts, and how much notice is needed to stop it.
- Indemnity and liability. What you are agreeing to carry.
Here is the most useful sentence on this page: ask for the terms by email before the machine is dispatched, and read them at your desk rather than at the gate.
Red flags: no written terms at all, terms that cannot be produced in English, or a refusal to put the breakdown response time in writing.
What we see at our yard
An FM company doing lighting replacement in an older Deira building signed at the gate on a phone screen, then found they could not move the machine to their second building under the geographic clause. We issued a revised agreement covering both locations. Mistake 8: Budgeting the Headline Rate and Forgetting Everything Around It
What it looks like
The quote says one number. The invoice says a bigger one. You feel cheated even when every line on it is legitimate.
Why it happens
Suppliers quote the machine. Customers hear the machine and budget the whole job.
What it costs
A budget overrun and a damaged supplier relationship, usually over amounts that could have been disclosed in one email at the start.
How to avoid it
Here is what sits inside and outside a headline day rate with us. Publishing this costs us the ability to surprise anybody later, which is rather the point.

On tax: VAT in the UAE is charged at a standard rate of 5 percent and appears as a separate line on the tax invoice. A VAT-registered business can generally recover input VAT on qualifying business expenses, so for most commercial renters that 5 percent is a cash flow item rather than a real cost. Mandatory VAT registration applies from AED 375,000 of annual taxable turnover, with voluntary registration available from AED 187,500.
Which means a supplier who cannot issue a proper tax invoice is costing you real money, not saving you any.

An event build contractor in Dubai Marina working a fixed installation window budgeted the day rate only, then found out-of-hours mobilisation and standby time had not been factored into a build that ran overnight. For their next event we quoted the whole window all-in, with VAT shown separately.
Mistake 9: Picking the Wrong Hire Period and Misunderstanding How a Day Is Counted
What it looks like
Booking seven separate daily hires for a job that was always going to run a week. Or booking a “day” and finding the day was counted differently than you assumed.
Why it happens
Nobody asks how the clock works, because everyone assumes it is obvious.
What it costs
Straight overspend on a job whose duration was never really in doubt.
How to avoid it
Daily, weekly and monthly rates are structured so the effective cost per day falls sharply with duration. How daily, weekly and monthly rates compare covers the arithmetic properly, including the break even calculation.
Ask three specific questions:
- When does the hire clock start: dispatch, arrival, or first use?
- Does a weekend or public holiday count as a hire day?
- How much notice do you need for off-hire, meaning the formal notice that ends the hire?
The honest trade-off is this. If your job might slip, a weekly rate with a clean off-hire term almost always beats a string of daily hires.
What we see at our yard
The same Dubai Marina event contractor had been running back-to-back daily bookings across a whole quarter of installations. Counting the days out loud with him took ten minutes and changed how he booked everything afterwards.
Mistake 10: Leaving Permits, NOCs and Gate Passes Until the Truck Is at the Gate
What it looks like
A machine arrives at a free zone gate with no pass. A machine arrives at a community entrance with no developer NOC. A crane setup planned partly on a public road with no approval.
Why it happens
First-time renters assume the rental company arranges permits. In practice the party controlling the site or the works normally holds that responsibility.
What it costs
A refused delivery and a lost day. On public road works, a stopped job.
How to avoid it
For the road corridor specifically, RTA Dubai operates ROWPS, an online right of way permit portal, covering activity within the protected road corridor. Here is the non-obvious part: only RTA-registered contractors and DM or Trakhees-approved consultants can submit an application, so a property owner generally cannot self-submit.
Stated processing guidance runs from around 5 to 10 working days for simple utility crossings on minor roads, 10 to 15 working days where a traffic management plan is required on secondary roads, and 3 to 6 weeks for main artery works needing a traffic impact study. NOCs from DEWA, Etisalat, du or Dubai Municipality drainage may also apply where works interface with an existing utility corridor. Confirm whether your particular activity falls inside the road corridor at all before assuming any of this applies.
Other routes to check, rather than a definitive legal list: Dubai Municipality building and works permits on mainland sites, Trakhees for properties in its jurisdiction, free zone authority gate passes in JAFZA, DAFZA, DMCC, Dubai Internet City and Dubai South, master developer and community NOCs in developments such as Arabian Ranches and Dubai Hills, and Dubai Civil Defence involvement on certain works. Your site owner or main contractor knows which apply to you.
Ask one question on the first call: who is arranging site access and permits, you or me. Get the answer in writing.

A light industrial tenant in Dubai South arranging their first hire assumed we would sort out gate access. The truck sat outside the gate without a pass. We rescheduled the delivery and gave them the list of details the zone needed. Ask who arranges access on the first call, not the morning of.
Mistake 11: Planning the Hire Without the Midday Break, Summer Heat and Ramadan Timings
What it looks like
Six productive hours planned across the middle of a July day. Three of them are unusable outdoors.
Why it happens
New renters, particularly those new to the UAE, plan to a European or South Asian working day.
What it costs
You pay a full hire day and get a partial day of work, repeated across the whole hire.
How to avoid it
The UAE midday break bans work under direct sunlight and in open areas from 12:30pm to 3:00pm daily, between 15 June and 15 September. It is enforced by the Ministry of Human Resources and Emiratisation, with compliance monitored through inspections and digital tools, and public reporting available through MoHRE’s call centre and app.
The scheduling fix is straightforward. Move outdoor lift and excavation work into early morning and late afternoon blocks. Move indoor work, such as electric scissor lift rental in Dubai tasks in a covered unit, into the middle of the day.
Ramadan brings reduced working hours and altered site access windows on top of that. Confirm the current year’s site rules with your main contractor rather than assuming last year’s pattern.
Heat affects the machines too. Hydraulic and battery performance both drop in peak summer, which is exactly why 24/7 support across the UAE and a clear replacement machine policy matter far more in August than in January.

An exterior cleaning contractor in Business Bay scheduled a full day of outdoor lift work straight through the middle of a July day. We rebuilt the plan around early morning and late afternoon blocks so the same scope fitted inside the hire days already booked. Build the summer schedule around 12:30 to 3:00 before you book the machine.
Mistake 12: Skipping the Handover Inspection and Signing a Blank Delivery Note
What it looks like
The driver hands over a paper. You sign it without walking the machine. No photos are taken by anyone.
Why it happens
You do not want to look difficult or slow on your own site, with your own crew watching.
What it costs
Any pre-existing damage becomes yours at return. This is the most common source of deposit disputes in the industry, and it is entirely preventable.
How to avoid it
A five minute routine at handover:
- Walk the machine with the driver before he leaves
- Photograph all four sides, plus the platform or bucket, plus the tyres or tracks
- Note the fuel or charge level
- Test the controls and the emergency stop while he is still there
- Write any existing damage onto the delivery note before you sign
Never sign a delivery note with blank sections. Not one.
What should arrive with the machine: the delivery note, the inspection or TPI documentation, the operator’s certification on wet hire, and the operating manual or key safety instructions.
Our handover includes a safety briefing, and customers are welcome to take their own photographs. Some suppliers discourage that, which tells you something.

What we see at our yard
An interiors company on a JVC townhouse refurbishment signed the delivery note without walking the machine or taking photos, then disputed a mark at return. We resolved it, and we now walk every handover with the customer and actively encourage them to photograph the machine themselves. Five minutes protects your deposit.
Mistake 13: Choosing the Cheapest Supplier With No Licence, No Tax Invoice and No Backup Machine
What it looks like
Best price of the three quotes. No trade licence produced. No VAT invoice. One machine, and no replacement if it fails on a Thursday afternoon.
Why it happens
Price is the only comparable variable a first-time renter has been given.
What it costs
Non-recoverable VAT, an unaccountable counterparty in any dispute, and total exposure to a single machine breakdown.
How to avoid it
Run a six-point check on any supplier:
- Valid trade licence for equipment rental activity
- VAT registration and the ability to issue a proper tax invoice
- Inspection documentation supplied as standard
- Written terms in English, before dispatch
- A stated breakdown response and replacement policy
- A real yard you can visit
Now the honest part. Being the lowest quote is not automatically a problem. The test is whether that supplier can produce those six things. If they can, take the price. We would rather you hired well from someone else than badly from anyone.

Do I need a permit to use a boom lift or crane in Dubai? It depends on where the machine sits and what the works are. Possible routes include Dubai Municipality, Trakhees, a free zone gate pass, a developer or community NOC, and RTA ROWPS for work inside the road corridor. Confirm which apply with your site owner or main contractor before booking.
Is an operator included when I rent machinery in Dubai? Not by default. Dry hire is the machine only. Wet hire is the machine plus a trained and certified operator, priced differently. Dream Way provides certified operators on request, so state which you need in writing when you book rather than assuming either way.
Do I need a third party inspection certificate for rented equipment in the UAE? Lifting equipment is subject to third party inspection under UAE frameworks including the Dubai Municipality construction safety code, and most controlled sites will refuse a machine without valid documentation. Check that the certificate’s serial number matches your machine and that the expiry date covers your entire hire period.
Who is responsible for insurance on hired equipment in the UAE? It is set by your rental contract, not by custom. Contractors All Risk and Contractors Plant and Machinery are the two relevant engineering policies, and some insurers offer a hired-in plant extension for rented equipment. Get the position in writing before delivery and confirm it with your broker.
How is a rental day counted in Dubai? It varies by supplier, which is exactly why you ask rather than assume. Three questions settle it: when does the clock start, at dispatch, arrival or first use; do weekends and public holidays count as hire days; and how much notice do you need to off-hire and stop the charge.
What happens if the machine breaks down on my site? A serious supplier repairs or replaces within a stated window. Get that response time in writing before you sign, because it is the clause nobody reads and everybody needs eventually. Does the UAE midday break affect my equipment rental? Yes, for outdoor work. Work under direct sunlight and in open areas is prohibited from 12:30pm to 3:00pm between 15 June and 15 September, enforced by MoHRE. Schedule outdoor lift and excavation work into early morning and late afternoon, and move indoor tasks into the middle of the day.
What documents should the rental company give me at handover? The delivery note, the inspection or TPI documentation, the operator’s certification if you are on wet hire, and the operating manual or key safety instructions. Read the delivery note before signing, write any existing damage onto it, and never sign one with blank sections left open.
Getting It Right the First Time
Look back at the thirteen and you will notice something. Almost none of them are technical failures. They are communication failures, and every one is solved by asking the supplier a question before the machine is dispatched.
That is genuinely the whole thing. Describe the job. Ask what is included. Read the terms at your desk. Check the certificate. Walk the machine at handover.
